Managing each deal in a separate Excel file left OKOA with fragmented information, time-consuming quarterly checks, and limited visibility into borrowers across multiple loans.
Hypercore brought loan and investor information into one shared platform, automated key calculations, and gave teams across the business direct access to the data they needed.
OKOA enabled more proactive portfolio decisions, reduced its operational burden, and built the capacity to scale its portfolio without a corresponding increase in headcount.

OKOA is a private credit firm specializing in bridge lending, construction financing, and specialty credit secured by commercial real estate.
Senior Associate Zach Hoffman works across origination, underwriting, portfolio management, and operations. His involvement throughout the loan lifecycle gave him a clear view of where a shared system could make the greatest difference.
OKOA’s Excel based approach had served the firm as they built the portfolio, but as deal volume and team size grew, the limitations of Excel became clear.
Reviewing the whole portfolio could take one to three weeks each quarter, especially when it related to investor reporting. Some files were so large that only one person could run them on their computer, creating bottlenecks and making information harder to share.
However, legacy portfolio management systems were not ideal for FH Structured Solutions’ loan products. Douglas found most systems inflexible and/or hard to use, and not built for some of the more complex loan structures utilized in private credit.
“We’d have to review every single deal file quarterly to make sure that we weren’t missing payments or changes. It was a huge operational burden on the team.”
Zach Hoffman, Senior Associate at OKOA
Understanding a borrower’s overall position also meant opening multiple spreadsheets and comparing records across their loans. OKOA needed a standardized system that would make accurate information accessible across the organization and support its next stage of growth.
“We hit our operational limit with Excel. To grow to that next stage, we had to implement a dedicated system.”
Zach Hoffman, Senior Associate at OKOA
Zach led OKOA’s implementation of Hypercore, beginning with a trial loan and bringing historical and current loans into the platform in phases, with full implementation in 3 months.
Working with colleagues across departments, he validated the information against bank statements and accounting records, reconciling the data into a shared source of truth.
Hypercore automated calculations such as IRR and distributions, making workflows accessible to more team members and reducing dependence on specialist Excel knowledge.
“Before, one or two people were extremely good at it because they were native to Excel. Now you can have non-native users in the system, and everybody has the same data.”
Zach Hoffman, Senior Associate at OKOA
Hypercore demonstrated a collaborative partnership, continuing to adapt to OKOA’s needs as the team used the platform. When OKOA was downloading payoff statements and manually applying its branding, Hypercore incorporated the design directly into its account. Zach estimates that removing this step saves one to two hours when preparing two or three payoffs.
“Hypercore is very proactive and very responsive to feedback. They’ve been able to make changes that have streamlined our operations even further.”
Zach Hoffman, Senior Associate at OKOA
Hypercore’s role grew beyond OKOA’s initial expectations of a shared source of truth, becoming central to servicing and supporting the evaluation of new loans.
“Our expectations were exceeded. Hypercore became a pivotal aspect of the business, at least for the servicing and operations side, where we could model out new loans and see what our returns are before we even do them.”
Zach Hoffman, Senior Associate at OKOA
A consolidated view of borrower performance across multiple loans helps the team identify where attention is needed and act earlier.
“It really allowed us to be more proactive by seeing data in real time and making decisions based on that information.”
Zach Hoffman, Senior Associate at OKOA
Automated calculations and shared workflows reduced the effort required to manage the portfolio, creating capacity for growth without a corresponding increase in headcount. Accounting and other stakeholders can directly access payment allocations, fees, investor positions, and returns without compiling separate reports.
For Zach, these improvements translate into a broader business advantage.
“It truly is something that helps you scale, and it actually delivers better results and allows you to compound your growth. Ultimately, you make more revenue with a system like that.”
